Operational Conditions & Obligation to Notify

For the safety of your expedition, it is essential to comply with the following operational notification requirements.
These obligations ensure that rescue authorities can respond quickly in case of emergencies or unexpected delays.

The expedition number (e.g., X-25-YY) must always be included in all notifications and correspondence.

ATTENTION: Failure to comply with the obligation to notify may result in legal consequences, delayed rescue response, and potential implications for the applicant’s future expedition permit applications.

 

Before Expedition Start

  • The expedition leader must notify the rescue authorities before the start of the expedition.
  • The satellite phone number, MMSI number, and ID code of the Personal Locator Beacon (PLB) must be provided to the Joint Rescue Coordination Centre (JRCC) at FKO-KTP-A-JRCC@fiin.dk, with FKO-KTP-A-EKSPD@mil.dk in copy (all expedition types)
  • If the expedition uses Garmin InReach equipment, a tracking link must be sent to the rescue authorities before departure.
  • The expedition must notify:

During the Expedition

  • Any changes to the entry point, route, or cancellation of the expedition must be notified to the rescue authorities as soon as possible.
  • If the expedition leader does not have internet access before, during, or after the expedition, the designated emergency contact person must send the notifications on their behalf.

End of Expedition

  • Upon arrival at the final destination, and before leaving Greenland, the JRCC FKO-KTP-A-JRCC@fiin.dk, with FKO-KTP-A-EKSPD@mil.dk  in copy (all expedition types) must be notified that the expedition has been successfully completed.
  • The expedition leader must send a written end-of-expedition notification to JRCC, including:
    • The date of arrival at the final destination.
    • The name of the location where the expedition concluded.
  • Any delays in reaching the final destination must be notified immediately.

If JRCC does not receive a written end-of-expedition notification within one day after the planned completion date, the following procedure will apply:

  1. JRCC will attempt to contact the expedition leader.
  2. If unsuccessful, JRCC will contact the emergency contact person or the responsible operator of the expedition.
  3. If neither can be reached and no recent contact has been made with the expedition, the authorities (Greenland Police or Joint Arctic Command) will initiate a search operation.

Mandatory communication Equipment

All expeditions are required to carry, at minimum, the following communication equipment:

  • Personal Locator Beacon (PLB)
  • Maritime VHF radio
  • Satellite telephone

If the expedition will split into multiple groups, each sub-group must be equipped with its own PLB, VHF, and satellite phone.
